Every sourcing guide says 'check if the supplier is GST registered.' Almost none of them explain what that actually tells you, or how to verify it. This article does both.
What GST Registration Actually Means
- A business is legally required to register for GST if their turnover exceeds ₹40L/year (₹20L for service businesses in some states).
- Registration requires submitting PAN, Aadhaar, and place-of-business proof. The government verifies these against existing records.
- An active GST registration means the business filed at least one return in the past 12 months — it does not mean they filed accurately or paid their taxes.
How to Check a Supplier's GST Status in 60 Seconds
Go to search.gstin.in. Enter the 15-digit GSTIN. The result will show: legal name, trade name, registration date, state, and current filing status (active/cancelled/suspended).
If the status shows 'Cancelled' or 'Suspended' — walk away immediately. A supplier claiming to be GST compliant with a cancelled registration is either running an informal operation or in financial trouble.
What MSME Registration Tells You
MSME (Udyam) registration is self-voluntary and not verified by the government beyond basic PAN linkage. A supplier with Udyam registration has chosen to self-declare their enterprise size. The benefit for you: MSME suppliers are typically smaller and more responsive, and they're legally entitled to faster payment (45-day maximum by law).
The Better Signals: What Actually Predicts Reliability
- Audit trail of past orders: References > certificates, always.
- Response time consistency: A supplier who replies within 2 hours on WhatsApp and takes 3 days on email has a process problem.
- Production photos and video: Genuine manufacturers can show you their floor. Traders often can't.
- Payment terms consistency: If they negotiate payment terms differently with every customer, they have cash flow problems.
- IEC code (Import Export Code): Verifiable if they claim to export. Check at dgft.gov.in.
